How to change NDIS support coordinators
Changing support coordinators feels awkward, so people put it off for months while their plan drifts. It shouldn't. Coordinators work for you, the funding is yours, and switching is a routine process the NDIS fully allows.
When a change is justified
Some fair reasons: messages go unanswered for weeks; you don't know what's been done with your funded hours; you feel steered toward the coordinator's own organisation or their favourite providers; reports appear that you've never discussed; or the relationship simply doesn't work. You don't need a dramatic reason. "This isn't working for me" is enough.
Step by step
First, check your service agreement for the notice period - commonly two to four weeks. Second, find the new coordinator before you resign the old one, so there's no gap; most, including us, will have a free initial conversation while you're still with someone else. Third, give notice in writing, briefly and politely; you don't owe a detailed explanation. Fourth, ask for a handover: your current coordinator should pass on progress notes, provider contacts and the state of any open issues. Finally, tell your plan manager (if you have one) and your key providers who the new contact is.
What happens to your funding
Your Support Coordination budget stays in your plan and simply gets billed by the new provider from the changeover date. Check the final invoice from the outgoing coordinator against the hours you understood were worked - you're entitled to itemised billing.
If you're worried about awkwardness
You can ask the new coordinator to manage the transition, including the notification. A professional outgoing coordinator will handle it without drama; if they don't, that rather confirms the decision. And if something more serious than poor service has happened - pressure, conflicts of interest, billing you can't reconcile - you can raise it with the NDIS Commission on 1800 035 544 regardless of whether you stay or go.
Give the new arrangement a fair start
Be upfront with the incoming coordinator about what went wrong last time and what good communication looks like for you. The first month sets the pattern.
